We collect only what we need to teach well and keep everyone safe. In plain terms:
What we hold and why
-
Names, contact details, and the student's age: to run lessons, bookings, and communication. Basis: our agreement with you.
-
Emergency contacts and permitted collectors: to keep children safe. Basis: our agreement with you and the child's vital interests.
-
Health needs and allergies you tell us about: so we can respond well during sessions. This is sensitive data; we hold it with your explicit consent, share it only with the teachers who need it, and you can update or withdraw it at any time.
-
Accessibility and learning needs you choose to share: to adapt our teaching. Held with your explicit consent.
-
Lesson notes, progress records, and practice videos: to teach. Videos for students under 18 are shared only through a parent's or carer's channel. Basis: our agreement with you.
-
Photos and videos for use beyond lessons: only according to the specific choices you make at registration (website and social media; studio listings; printed local media; occasional paid advertising). Each choice is separate, and you can change any of them at any time by writing to us, after which we take images down everywhere. Basis: consent.
-
Payment records: invoicing runs through My Music Staff and payments through Stripe. Your card details are held by Stripe, never by us. Basis: our agreement with you and legal (accounting) obligations.
-
CCTV in some common areas (stairs, waiting room, kitchen, car park; never lesson rooms), for everyone's security, with signage displayed. Basis: legitimate interests. Recordings are kept for [30] days unless needed for an incident.
Who we share it with
My Music Staff (our studio management system) and Stripe (payments), both acting under their own privacy commitments; our accountant for financial records; the authorities where safeguarding or the law requires it. We never sell your information and never use it for third-party marketing.
How long we keep it
While the student learns with us and for up to six years afterwards (the legal limitation period for contracts); financial records six years; safeguarding records as statutory guidance requires. Images are removed from use promptly when consent is withdrawn.
Your rights
You can ask what we hold about you or your child, ask us to correct it, withdraw any consent, and in some circumstances ask us to delete data. Write to Roberto. If we ever disappoint you on this, you can complain to the Information Commissioner's Office (ico.org.uk), but we would be grateful for the chance to put it right first.
